Product certification and permit documents

We obtain the permit documents for your goods ourselves: declarations of conformity, sanitary and phytosanitary documents, state registration of dietary supplements. It is part of the delivery service, not a separate quest you have to run alongside the logistics at the last moment. Most often clients come to us for certification of auto parts and state registration of dietary supplements — we work with these categories every day.

Why this is a separate topic at all

Most companies in this business move the cargo and stop at the customs border: the documents are your problem. The client learns this when the goods are already in the port and the declaration of conformity should have been started a month earlier.

We close the documents within the same process as the delivery. That is why the cargo and the paperwork arrive at the border at the same time.

Technical regulations

Declaration of conformity

Required for a wide range of industrial products: auto parts, electronics, chargers, equipment, toys, personal protective equipment. It is the most common document in imports from China — we issue it most often for auto parts.

Sanitary control

Sanitary and epidemiological certificate

Goods that come into contact with people or with food: tableware, cosmetics, children's products, foodstuffs.

Plant products

Phytosanitary control and documents

Products of plant origin — tea, herbs, dried fruit, spices.

Nutraceuticals

State registration of dietary supplements

Dietary supplements and nutraceuticals do not enter Ukraine without registration. It is the longest and most complex procedure on this list, so it has to be started earliest. Together with certification of auto parts, this is our most frequent work in this area.

We collect from the factory everything without which none of the procedures moves: technical documentation, product composition, specifications, samples for testing.

Goods that do not clear customs without documents

This is not a formality and not something that "can be arranged". Without documents the cargo simply will not be released, and it will sit at the terminal until the papers appear.

Auto parts. Declaration of conformity with technical regulations. The most frequent category in our certification practice.
Dietary supplements and nutraceuticals. State registration is required. It is the longest procedure, so it has to be started before you order the batch, not after.
Tea and foodstuffs. Sanitary and phytosanitary documents, labelling requirements, composition and shelf life in Ukrainian.
Electronics and chargers. Declaration of conformity with technical regulations, labelling requirements.
Children's products and toys. A separate technical regulation plus a sanitary certificate. The category with the strictest control.
Cosmetics and household chemicals. Sanitary documents, full product composition from the manufacturer, labelling requirements.

These same categories carry the highest margin — precisely because not everyone gets into the market. Here documents are not a cost but a barrier to entry that works in favour of whoever knows how to pass it. How the cargo then crosses the border is described on the customs clearance page.

When to start

You send a description of the goods

What it is, what it is made of, who it is for, photos of the labelling and packaging. The right moment is before you have paid for the batch: then there is time to obtain the documentation from the factory and, if necessary, to change supplier.

We determine the HS code

And the list of documents needed for that specific item. If no documents are required, we say so straight away.

We quote the timeline and the cost

They depend on the procedure and the product category, and are fixed before the work starts.

We collect documents from the factory

Technical documentation, product composition, specifications. If required, we arrange testing of samples.

We obtain the document while the cargo is in transit

By the time it reaches the border the set is ready and the cargo passes without downtime.

How much does certification cost?

It depends on the procedure and the product category. We quote the exact amount after we see the product description and determine the HS code, and we fix it before the work starts.

How long does it take?

It depends on the procedure — we quote the timeline together with the cost, before the work starts. The longest procedure is state registration of a dietary supplement, so it has to be started earliest, before the batch is paid for.

What is needed from me and from the factory?

From you — a description of the goods, photos, labelling. From the factory — technical documentation, product composition and samples. We draw up the list for the specific item and deal with the supplier ourselves if needed.

Do my goods need documents at all?

That is determined by the HS code. Send a description of the goods — we will check and tell you plainly whether they are needed or not. Some goods pass without certification, and in that case we do not sell an unnecessary procedure.

What if the documents have already been issued to another company?

That depends on the type of document and the terms under which it was issued. Send us the document together with the product description — we will check whether it can be used for your batch and give you a straight answer.

Will certification delay my delivery?

No, if it is started on time. The documents are prepared in parallel with production and transit: sea takes 70 days, rail 35–45 — in most cases that is enough time for the set to be ready before the cargo arrives.
